Privacy Policy

Effective Date: July 26, 2025

1. Introduction
The International Microgreen Growers Association‑USA (IMGA USA) (“we”, “us”, “our”) respects your privacy. This policy explains what personal data we collect, how we use and protect it, and your rights.

2. Information We Collect
When you register for membership, make a donation, or sign up as a volunteer, we may collect:

Personal details: full name, email address, phone number

Organization/business information, if applicable (your company name, role, contact details)

Payment or donation details—though processed through a third party (see Section 4)

We also automatically collect non‑personal usage data such as IP address, device/browser type, pages visited, and other analytics for site improvement and security

3. How We Use Your Information
We use personal data to:
Process memberships, donations, and volunteer applications

Send required communications such as receipts, confirmations, newsletters, or updates (only with your consent)

Improve our programs, events, and website experience

Fulfill legal obligations or respond to inquiries

Non‑personal data is used in aggregate form for analytics, performance monitoring, and site enhancements.

4. Third‑Party Services
We employ Zeffy to process donations and payments. Zeffy receives only the data necessary to complete the transaction and is contractually obligated to keep your information confidential.
We may also use email marketing platforms (e.g. Mailchimp or similar) to communicate with subscribers. Again, only essential contact data is shared, and the provider is bound to privacy commitments.

5. Data Retention
We retain your personal information only for the minimum period necessary to fulfill its intended purpose—such as processing memberships or completing donations—and to comply with legal or tax recordkeeping requirements. When no longer needed, data is securely deleted or anonymized

6. Children’s Privacy
Our services and website are not intended for individuals under age 13. We do not knowingly collect personal data from anyone under 13. If we become aware that such data has been collected, we will promptly delete it.

7. Data Security
We implement appropriate administrative, technical, and physical safeguards—including encryption, secure access controls, and periodic audits—to protect your data against unauthorized use or disclosure. While we strive to safeguard information, no system is 100% secure.

8. Disclosure of Your Information
We do not sell or rent personal information. We share data only with trusted third parties who perform services on our behalf (e.g. payment processors, email providers), and only to the extent needed to provide those services.
We may also disclose data:
To comply with legal obligations or requests by law enforcement

To protect rights, property, or safety of IMGA USA or others

In the event of a reorganization, merger, or acquisition

9. Your Rights
You have the right to:
Request access to the personal data we hold about you

Correct inaccurate or incomplete personal information

Request deletion of your personal data (subject to legal exceptions)

Opt out of marketing communications at any time

Request portability of your data in a machine-readable format, where applicable

10. Cookies & Tracking
We use cookies and similar technologies to analyze site traffic, preferences, and behaviors. You can disable cookies via your browser settings, though it may limit site functionality. Third-party analytics or marketing tools may also place cookies, governed by their own privacy policies.

11. Changes to This Policy
We may update this Privacy Policy occasionally. Any changes will be posted here with a revised effective date. Please review periodically to stay informed of updates.
